How personal information is collected and used when you register for, attend or organize an event on SCL Events.

Who is responsible

Each event is run by its organizer, who decides what the event collects and how it is used; for event registrations the organizer is normally the data controller and Saunders Consultants Ltd processes the data on the organizer's behalf. [Counsel to confirm the controller/processor roles.]

What we collect

• Registration details: first and last name, email address, phone number, company, job title, registration type, attendance mode (in person or virtual), group details, and any access or discount code you enter.
• Catering and accessibility (optional): meal preference; food allergies and accessibility needs only if you tick the consent box beside those fields. You can withdraw that consent at any time from your registration's preferences page or by contacting us, and the information is then removed.
• Payments: amount, status and bank-transfer reference; card payments are handled by the card payment gateway the organizer has chosen (Scotiabank Scotia eCom+, PowerTranz). Card numbers are entered on the gateway's own page and are never received or stored by SCL Events.
• At the event: check-in and badge scans, session attendance, and your answers to polls, surveys and session questions.
• Networking (optional): the headline, links and contact details you choose to share, messages you send to other attendees or exhibitors, and whether you agreed that exhibitors you visit may receive your contact details.
• Technical data: a session cookie needed to keep you signed in or to protect forms, your language and display preferences, and security logs (including IP address) used to prevent abuse.

Why we use it

• To register you, issue your ticket and badge, and admit you to the event (performance of a contract).
• To arrange catering and accessibility support you asked for (your explicit consent).
• To send you messages about the event you registered for, and to keep the platform secure (legitimate interests).
• To meet accounting and legal obligations for payments (legal obligation).

Who receives it

• The event's organizer and the staff they authorize.
• Exhibitors, only for attendees who agreed to share their details with booths they visit.
• Service providers acting for us: Microsoft 365 (Exchange Online), to send confirmations, tickets and event messages; the card payment gateway the organizer has chosen (Scotiabank Scotia eCom+, PowerTranz). Card numbers are entered on the gateway's own page and are never received or stored by SCL Events; and the hosting provider for this installation. How long we keep it

Your rights

Depending on where you live, you can ask to access the information held about you, correct it, have it erased, restrict or object to its use, receive a copy in a portable format, and withdraw any consent you gave. To make a request, email events@sclsevents.com from the address you registered with, or contact the event organizer. We will respond within the period the law requires. You may also complain to your data-protection supervisory authority.
